Since June 2015, Best Time RV has been offering brand new, high-quality Winnebago, Coachmen, Roadtrek and Hymer motorhomes for rent in Las Vegas, San Francisco and Phoenix. The owner of Best Time RV has been in the motorhome business for over 30 years and his goal is to offer you the best possible rental experience by providing well maintained and equipped motorhomes in combination with a personal service at the rental depot and while travelling – all this at an affordable rate.
Vehicle Fleet
The fleet consists of brand-new B-21, L-21 and E-23 (E-24) Winnebago, Coachmen, Roadtrek and Hymer motorhomes that are very comfortable and spacious, yet easy to drive.
The B-21 is suitable for 2 people, easy to manoeuvre and low in fuel consumption. The L-21 is new on the american market, a van small enough to maneuver everywhere but truly capable to offer space for up to 4 adults. With a fixed double bed in the rear and a large cab-over double bed, the E-23 (E-24) offers plenty of room for up to 5 people travelling.

A compulsory vehicle preparation fee of US$ 194 per vehicle is payable when you pick up your motorhome. Between 01 Apr - 30 Sep the higher fee of US$ 254 per vehicle applies if you pick up on a Saturday or Monday.
The fee includes the following:
- Standard vehicle equipment (water hose, sewer hose, flash-light and batteries, first aid kit, 15/30 AMP adapter, etc.)
- First supply of toilet chemicals
- First roll of toilet paper
- Transfer from the rental depot to the airport after drop-off. For details, please see the 'Pick-up/Drop-off' section
Post-hire Cleaning
*The rental company reserves the right to charge a cleaning fee for vehicles, which are returned with an excessively dirty interior or exterior. The toilet and waste water tanks must be emptied and the fuel and propane gas tanks returned full or a further fee will be charged.
The option is available when you make your booking with us and is not available at pick-up time.
The All Inclusive Price includes the following provisions in addition to those included in the standard price:
- Vehicle preparation fee
- Convenience kits for all passengers
Condition: A minimum hire of 13 rental days applies with this option.
- 5% off the daily rental rates for rentals from 21 days
- 10% off the daily rental rates for rentals from 42 days

The Repeater Special includes 300 free miles and will be granted only once.

Best Time RV offers a pre-online check-in. Please make sure you have it absolutely done at least 3 working days before pick-up of your vehicle over the link mentioned below. There you can enter all your data directly online. With the booking confirmation/invoice from us you will receive your booking number, which you have to enter there together with the date of your vehicle pick-up and the code of the rental station when picking up.

For flex rate bookings the following applies: The flex rate that is available at the time of booking for the first rental day determines the daily rental rate for the entire rental period up to the 7th day. Every rental day from the 8th day on are counted as a new booking and the flex rate that applies for the 8th day will be used from then on, and the flex rate that applies for the 15th rental day will be used from then, etc.
Pick-up and drop-off days are counted as one day in total, i.e. each rental night is used for the price calculation in the same way as is done by hotels. To find out which flex rate is currently valid for the vehicle you are interested in, just click for a price calculation for the desired rental duration. The flex rate is calculated by the rental company on the basis of supply and demand and is adjusted every Sunday.
Note: If you wish to make any changes to your booking, the booking will be re-calculated using either the original flex rate or the flex rate at the time of the booking change, depending on which rate is higher.
The following situations are classified as booking alterations.
- Change of date for vehicle pick-up or drop-off
- Change of location (depot) for vehicle pick-up or drop-off
- Change of vehicle category
- Name change
If you decide to extend your rental duration by 2 days to a date that is later than the original drop-off date, the same flex rate is used that applied on the day when you made your original booking. If you extend this by 3 days or more, the booking change rule applies as outlined above.
If an amendment is made to the rental dates within 14 days of collection, no refund will be made if the length of hire is shortened (i.e. the rental will be charged at the number of days originally booked). There is no refund for late pick up or early return of vehicle. A relocation fee may apply if the collection or return location is amended within 14 days of vehicle pick up or if notification occurs during the hire.
The cancellation fees apply as stated in Motorhome Bookers' booking conditions.
If the vehicle is collected later than the pick-up day booked, or returned earlier than booked no refunds will be provided.

Convenience kits are optional, payable locally and cost US$ 75 per person. For further details please refer to the section 'Equipment & Extras''.
If you select the All Inclusive option during your booking the vehicle preparation fee and convenience kits for all passengers are included in the total price.
There are no mileage allowances included in the daily rental rates.
Your 'advance booker' advantage:
You can book mileage allowances in advance in packages of 500 miles.

Note: mileage packages are only available for advance bookings and cannot be purchased locally.
No refunds are provided for unused miles and any miles that you drive above the booked mileage allowance will be charged at US$ 0.43 + local taxes per mile at drop-off time and for all vehicles.
This option has to be booked in advance with your motorhome booking. It includes the following:
- Pick-up from one of the designated transfer hotels between 0730hrs and 0930hrs
- Transfer to the rental depot
- Vehicle pick-up in the morning (regular pick-up is in the afternoon)
The prices for this option vary depending on which month you pick-up your motorhome and can be viewed during our online quoting/booking process.
The transfer from the depot to the airport after drop-off is free of charge.

One-way rentals (vehicle pick-up at location 'A' and drop-off at location 'B') are only available upon request between all rental depots and if booked in advance. For rentals between Las Vegas, Los Angeles, San Francisco, Phoenix and Vancouver South or vice versa a fee of US$ 150 (US$ 300 from or to Vancouver South) plus local tax is payable locally at the depot when you pick up the vehicle.
NOTE: If you cancel your Best Time RV hire, the one-way fee will be charged on top of the applicable cancellation fees.
The following taxes are charged on top of all amounts payable locally:
Las Vegas: 8.25%, San Francisco: 9.75%, Los Angeles: 8.75%, Phoenix: 16.55%
These amounts are provided to the best of our knowledge. Motorhome Bookers cannot accept responsibility if the actual tax percentages are increased or if Best Time RV alters these or other fees in any shape or form.
The fee for this package is optional and bookable/ payable locally at pick-up only:
California Toll Package: US$ 35
If the package is booked, all tolls incurred within the state of California are included. If this option is declined, it is the responsibility of the renter to pay all tolls and fines incurred while in possession of the vehicle. Any toll and/or fine not paid will be charged in addition to a handling fee of US$ 50 per incident.
Public liability insurance
Public liability insurance is included in the daily rental rate. The rental company and their vehicles are insured for damages to third parties and/or their property.
The public liability insurance that covers the registered drivers is only up to the statutory limit as stipulated by law of the State you are in at the time. This upper amount insured is normally very low.
In order to increase the upper limit of your own third party insurance you should purchase the Supplemental Liability Insurance (SLI) option locally. Please refer to the section 'Additional Insurance Options' below for more information.
Vehicle insurance
The CDW and VIP vehicle insurance is included in the rental rate for all vehicles. This insurance reduces the renter's personal level of risk/excess to US$ 1,000 (per incident) if an accident happens and in the event of theft or vandalism, regardless of how or by whom any damage to the vehicle occurs - including if the renter is not at fault. For exceptions see the table below. For damage that is not covered by the insurance: see below under the heading 'Insurance Exclusions'.

Additional insurance options:
You have the option of purchasing the Supplemental Liability Insurance (SLI) locally for either US$ 6 or US$ 12 per day plus local taxes. The SLI insurance increases the public liability insurance cover for the registered drivers from the low statutory limit that applies in the USA up to US$ 300,000 or a maximum of US$ 1 million.
The maximum level of each public liability insurance policy covers claims made by third parties against the rental company or the renter of the motorhome (in the case of third parties or their property). Passengers in the rental vehicle are not counted as third parties and the driver is therefore not insured for claims brought by them against him/herself.
You are required to provide a deposit as outlined in the above table when you pick up the vehicle. This can be provided by credit card (Mastercard, Discovercard, Visa, American Express) or in US$ travellers' cheques. No Euro cheques or debit cards are accepted.
Regardless of which method of payment you choose, all customers are required to present a valid credit card at pick-up before they will be allowed to collect the vehicle.
The deposit amount will be deducted from your credit card at pick-up and credited back when you drop off the vehicle, as long as you return the vehicle in the same state which you received it. Neither the rental company nor the tour operator is liable to pay any cost differences that occur between the cost of the deducted deposit and the reimbursement which result from foreign exchange fluctuations or external fees.
For special events such as 'Burning Man'* or 'Nascar Race' Best Time RV reserves the right to charge a higher deposit. An additional deposit will be charged at pick-up if the awning of the vehicle will be enabled to use.
Please ensure you have enough credit available on your credit card. Best Time RV does not allow any person to pick up a vehicle unless they present a valid credit card and can pay the deposit.
The deposit applies for each and any incident where the rental vehicle or the property of a third party is damaged. In such cases a further bond will be required to cover the excess in any future incidents.
The deposit is refunded in entirety as long as the vehicle is returned free of (new) damage, clean, with emptied toilet and waste water facilities and with full fuel tanks. The rental company reserves the right to charge fees for damage, cleaning costs, a delayed drop-off, fines, etc. In such instances these costs are charged in arrears to the client's credit card or offset the refund of the deposit.
* Burning Man surcharge: A US$ 2,000 surcharge (plus local taxes) applies to customers who pick-up in San Francisco, Las Vegas, Los Angeles or Phoenix between 25 Aug and 02 Sep 19 and for all customers who attend the Burning Man Festival anyway. This fee is payable locally, mandatory and non-refundable. In addition, a US$ 2,000 security deposit will be charged at pick-up.
The excess (in the form of the deposit) is always banked in the first instance, regardless of who is at fault and is owed to the rental company by the renter. If an accident occurs, the deposit is refunded as soon as the rental company receives a payment from a third party, which can take quite some time. The amount of the deposit is deducted every time an accident occurs.
All insurance cover is null and void where the terms of the Best Time RV rental agreement are breached. Any damage that is caused when the renter acts outside of the rental company conditions is not covered by the insurance.
Any water and/or saltwater related damage where the renter is at fault is not covered by the insurance. The insurance does not cover damage in the case of any vehicle submersion, the vehicle being stranded in a water area, driving through causeways or beach driving. This includes any damage to the underbody or roof and roof appendages.
Any personal property that is damaged or stolen during an accident, vandalism or a theft is not insured. Private insurance should be purchased in your home country to cover any such issues. In order to avoid theft of personal items from the vehicle it is advised not to leave any valuable items in the vehicle.
In the cases listed below, the renter is liable for the full damage to the rental vehicle and third-party property, i.e. no insurance cover whatsoever is provided in the following cases:
- water-/saltwater-related damage as listed above
- activities that are in breach of the rental agreement conditions, e.g. driving under the influence of drugs or alcohol or dangerous driving (especially with regard to trailers and camping appendages)
- damage caused by the use of the wrong fuel or when water or oil, etc are not topped up to minimum required levels (causing overheating, frost damage, etc.) or where warning signals in the vehicle are ignored
- costs that arise for towing and recovery of vehicles that have been stranded or submerged as a result of the driver's actions
- repairs and towing costs that are incurred because of driving on unpermitted roads or in forbidden areas
- damage caused by backing up or striking overhead objects
- damage to the interior of the vehicle
- damage to the underbody, tyre or wheel damage
- all glass damage
- costs incurred if vehicle keys are either lost or locked in the vehicle
- if damage is caused as a result of people using the vehicle without the permission (not registered in rental agreement) of the rental company
- if more passengers are in the car than the maximum number allowed
- if any member of the rental party deliberately damages any part of the vehicle
- if renter fails to file an accident/damage police report
The renter is liable for any fees, costs, fines or penalties that occur during his/her use of the rental vehicle unless any such costs incurred are the fault of the rental company.
Where speeding tickets, parking fines, toll road violations and/or accidents (e.g. that have not been mentioned to the rental company) come to light, the rental company reserves the right to invoice the customer for these costs in arrears as well as a processing fee of up to US$ 50 or charge this amount to their credit card. Customers will have the option of buying prepaid toll packages at pick-up.
The insurance options offered by the rental company do not include luggage insurance, nor do they include cover for any damage to the driver or passengers. It is therefore recommended to obtain travel insurance that covers accidents, sickness and loss of luggage prior to departure.
A European or other national driving licence is valid for use in the USA as long as the details are also provided in English. If the licence does not provide information in English, an international driving licence is required together with the original.
The minimum age for registered drivers is 21 years.
Additional drivers can be registered at the time of vehicle collection at no extra costs. Anyone wanting to drive the motorhome must have their details entered in the rental agreement.
To be allowed to collect your vehicle you are required to present a valid national driving license, credit card, your passport as well as the Motorhome Bookers voucher at the depot. Best Time RV makes no exceptions and you will not be able to collect your vehicle if you do not have all of the above documents with you.

If you pick up your vehicle on a Saturday or Monday between 01 Apr and 30 Sep, this fee will be US$ 254.
The fee includes:
First supply of toilet chemicals, one roll of toilet paper, transfer between depot and airport upon drop-off, fresh water hose and waste water hose, instruction manual, campground guide, accident kit, road atlas, first-aid kit, screwdriver, fire extinguisher, flash-light and batteries, vehicle levelers, 15/30 AMP adapter, water regulator, BBQ lighter.
If you select the all inclusive option during the online booking process the vehicle preparation fee is included in the total price.
The fees for the optional convenience kits are payable locally:

The convenience kit includes the vehicle kit and personal kit. If you would like to rent the vehicle kit only, the cost for this is US$ 50 per rental + local taxes (payable locally).
If you select the all inclusive option during the online booking process the convenience kits for all passengers are included in the total price.
The following extras can be rented and paid for locally. Please note that local sales taxes will be added.
We recommend that you reserve these items in advance during the online booking process, otherwise availability cannot be guaranteed.
- GPS satellite navigation system*: US$ 10 per rental day (up to max. US$ 100 per hire)

*GPS is already included for free in all B-21 and L-21 vehicle types and does not have to be reserved in advance.
**Snow chains have to be attached in mountain areas if necessary, by the renter himself. They have to be installed at the rear of the vehicle - in case of twin wheels only on the two outer wheels.
The costs for using a generator is US$ 3 per hour.
Customers wishing to use a generator are required to confirm this at pick-up time and pay for usage at drop-off.
Children up to the age of 8 weighing less than 60 pounds (approx. 26 kg) or who are less than 52 inches (approx. 132 cm) in height must use a child restraint, which is attached with a seatbelt. Babies/Children between 6 months and 4 years of age and weighing less than 40 pounds (approx. 18 kg) are required to be seated and belted in a baby seat.
Children between the age of 4 years and 7 years and weighing between 40 and 60 pounds (approx. 14 - 26 kg) are required to be seated and belted in a child seat.
The following baby/child seat configurations are possible:
B-21: NO child restraint possible
E-23: 1 tether anchor, 2 lap belts: max. 2 child seats recommended
L-21: 2 three-point seat belts: max. 2 child seats recommended
Please note: Baby capsules are not permitted in any Best Time RV motorhome. It therefore does not allow you to travel with babies under the age of 6 months.
Best Time RV does provide child restraints for rent. They cost US$ 39 per rental, payable locally. If you require one of these seats please provide details of the child's age and weight when you make your booking.
Please note that, due to applicable law, a baby/booster seat must be attached in the rear of the vehicle. The dinette table may require lowering to install the seat, but will only lower to seat level. As a result, other passengers will not be able to travel in the dinette area.
It is not allowed to drive off-road or on any roads that are not public.
If you drive in the Death Valley between 15 June and 15 September there is no insurance cover.
It is not permitted to drive on Dempster Highway between 01 September and 31 May.
It is not permitted to drive to Manhatten or New York City (it is ok to drive in New York State), Montreal, Quebec City and Ottawa.
Vehicles with propane gas tanks (for the oven and fridge) are not allowed to drive through underwater or underground tunnels in the USA.
You are not permitted to drive the vehicle to Mexico.
If you are a resident of Canada you are not allowed to travel into Canada. Residents of other countries are permitted to travel into Canada with the following restrictions:
You can only drive to Alaska, the Northwest Territories and to Yukon in Canada between 01 May and 30 Sep by paying a fee of US$ 450 on pick-up and requesting this allowance in advance with the booking. However, you are still not allowed to drive on forest roads/tracks or on unsealed roads. All customers are required to sign a document at pick-up time stating their agreement to the terms and conditions in relation to these areas.
Following prohibited travel areas apply to Yukon and Alaska:
Yukon: Canol Road North of Ross River, Aishihik Lake Road and the Road between Dease Lake and Telegraph Creek
Alaska: Dalton Highway (Hwy 11) between Coldfoot and Prudhoe Bay, McCarthy Road between Chitina and McCarthy
One-way rentals (vehicle pick-up at location 'A' and drop-off at location 'B') are only available upon request between all rental depots and if booked in advance. A fee of US$ 150 (and US$ 300 from or to Vancouver South) plus local tax is payable locally at the depot when you pick up the vehicle.
NOTE: If you cancel your Best Time RV hire, the one-way fee will be charged on top of the applicable cancellation fees.
Please note that the renter is liable for any damage to the vehicle resulting from frost, exposure to the cold, freezing of the tanks, warm water container and connections and damage such as this is not covered by the insurance.
If it is likely that you will experience temperature levels below zero, all connections such as water and chemical tanks should be emptied. If frost temperatures are expected the rental depot will have already winterised the vehicle by emptying the water to avoid freezing, prior to your departure. Winterised means that all water has to be emptied out of all water tanks. Following this, it is not permitted to pour any more water into the fresh water tank and none of the water connections can be used any more. No water in the vehicle is available for use. The renter is then required to purchase his/her own bottled water (e.g. drinking water) and to cover these costs him/herself.
The basins, sink and shower can no longer be used. The toilet can be partially flushed as long as windscreen wiper anti-frost fluid is used in the rinse. If there is a heavy frost, the toilet should not be flushed at all and you will need to use public toilets.
The renter bears all responsibility for ensuring the vehicle remains winterised and to return the vehicle in this state if the vehicle was collected in a warmer region such that the vehicle was not winterised or if this state is altered during the rental period. If the renter does not adhere to these guidelines - regardless of what weather conditions are present at drop-off time, a fee will be charged and the bond will be withheld until the vehicle is again winterised by a specialist and returned to the rental company. Winterisation or de-winterisation of the rental vehicle while on rent is at expense of the customer.
The renter will be held responsible for any costs resulting from the vehicle being damaged such as when the tanks, engine elements and pipes are damaged due to freezing, frost, etc. In such cases there is no insurance cover.
Please allow for the fact - when planning out your route, that campgrounds in certain areas may close during the winter. Some roads, especially in alpine areas may also be closed for driving or may be simply too dangerous to drive on.

The depot is open from Monday to Friday from 0900 - 1700hrs and Saturdays from 0900 - 1200hrs. It is closed on Sundays.
The depot is closed on the following public holidays:

On 24 Dec and 31 Dec, the rental depot will only be open from 0900 - 1200hrs.
For insurance reasons you are required to spend your first night in the USA in a hotel (or other accommodation) after an international flight before collecting your vehicle.
You can pick-up your vehicle from Monday - Friday between 1300 and 1500hrs, on Saturdays between 1000 and 1100hrs. There are no transfers provided and you need to arrange your own transportation to the rental depot.
Pick-ups before 1300hrs Monday - Friday and before 1000hrs on Saturdays are only possible if you book the Early Pick-up option.
Please note that you have to call the rental depot at least 3 working days prior to the pick-up of your vehicle to arrange the exact pick-up time!
If you have booked the Early Pick-up option you will be able to pick up your vehicle between 0900 and 1100hrs. In addition, a transfer is included from one of Best Time RV's designated transfer hotels to the rental depot. If you do not stay at one of the designated transfer hotels, you can make your own way at your own expense to one of these hotels or to the rental depot at the time approved by the rental depot in order to pick-up your vehicle in the morning.
No refunds can be given if you book the Early Pick-up option, but do not use the Best Time RV transfer. If you stay in one of the following designated transfer hotels, Best Time RV needs to be informed of the hotel details at least 3 working days in advance of the pick-up date. This is compulsory, otherwise the transfer will not apply and no rescheduled transfer can be provided and no refunds are given for this.
You have to provide your mobile phone number and, or email address, so the rental location can contact you in case any additional information regarding the transfer has to be communicated.
You are required to return the rental vehicle at the booked Best Time RV depot and on the booked drop-off date between 0900 and 1100hrs. The airport transfer however is only provided if you drop off on or before 1000hrs. The shuttle leaves around 1100hrs without exception and to the airport only (not to hotels or other destinations). If you drop off after 1000hrs, there are no transfers provided, meaning you would have to make your way to the airport at your own expense after this time.
Please do not book return flights with departures before 1400hrs if you want to take advantage of the free drop-off transfer to the airport.
NOTE: If your returning flight departs in the morning we strongly recommend that you book your motorhome such that you drop it off the day before you depart and spend a night in a hotel (or similar).
If the vehicle is not returned to the agreed depot or not at the agreed time, Best Time RV will charge US$ 30 per hour of delay and the airport transfer will be cancelled without refund. No refunds are provided if the vehicle is returned earlier than the date and time booked.
You are required to return the motorhome with a clean interior, full fuel and propane gas tanks and the toilet and waste water tanks must be empty, otherwise fees will be charged. If the vehicle is returned in a damaged state the appropriate fees will be charged as outlined in the rental agreement.
If you have booked the Early Pick-up option, the transfer buses will arrive at the designated Best Time RV transfer hotels at the approved time between 0730hrs and 0930hrs. You will need to be ready and waiting at the main entrance to the hotel (not in the lobby or your hotel room) and no later than this time. You can only make use of the transfer if you use one of the hotels mentioned below and as long the rental company is informed as to which hotel you are using at least 3 working days before pick-up by phone or at least 7 working days before pick-up by email. In the case of a Monday pick-up especially, notification of your hotel then needs to be given several days in advance. This is a compulsory requirement. Otherwise, no transfer will be provided and no compensation is provided to cover the missed transfer and you would need to make your own way to the rental depot at your own expense.
The transfers are only available at designated 'Transfer hotels' which are specified below.
You need to be ready and waiting at the approved time at the main entrance to your hotel (or an otherwise agreed 'designated customer waiting area' which can be specified when you call before your pick-up date), not in the lobby or your room. The rental company does not assume liability should unexpected delays occur due to shuttle bus delays resulting from traffic jams, etc.
If you stay in a different hotel and still wish to use the transfer you can come to one of the transfer hotels betweeen 0730hrs and 0930 hrs. The rental company still needs to be informed of your plans at least 3 working days prior to your pick-up date by phone or at least 7 working days before pick-up date by email to arrange the exact pick-up time.

Transfer possibility from San Francisco downtown:
The BART train is a fast (approximately 45 minutes) and inexpensive way to reach the rental depot in Hayward. Best Time RV offer shuttle transfers from and to the South Hayward BART station if requested in advance. Transfers from the BART station are also possible if you have booked the Early Pick-up Option. This transfer service is only available during the opening hours of the rental depot. More information can be found here: http://www.bart.gov/schedules/byline
A free shuttle transfer to the airport is provided if you drop-off your vehicle on or before 1000hrs. The shuttle bus leaves at 1100hrs. If you arrive late at the depot or your return flight leaves before 1400hrs, no transfer is provided.
Please contact Best Time RV absolutely by telephone before picking up your vehicle to arrange the details of your transfer.
No Best Time RV vehicle is older than model year 2018/24 months. Please note that 'model year' is not the year it was built in. A vehicle with model year 2018 is usually built and registered in 2017.
The vehicle category B-21 consists of 6 different van models with different layouts (Winnebago Travato Touring Coach Class B, Hymer Aktiv Class B, Roadtrek Zion Class B, Roadtrek Simplicity Class B, Roadtrek Simplicity SRT Class B, Carado Banff Class B). The motorization is always the same, all models are equipped with sleeping for 2 persons, toilet, kitchen, cold and warm running water, waste water tanks and aircondition. Please note that when this category is booked one of the 6 models can be assigned to a rental agreement. A specific model cannot be requested and Best Time RV does not guarantee a specific model.
Best Time RV will make every effort to ensure that the booked vehicle model is provided. However, it reserves the right, if due to unforeseen circumstances it has to provide either a vehicle of the same or a higher value without upgrade charges if the model booked is not available for any reason. Any additional costs such as higher petrol costs or ferry crossings costs, etc will not be reimbursed. This does not enable the renter to cancel his/her booking and there is no ground for compensation.
Even though all vehicles have similar equipment and designs small differences in vehicle design may exist. All measurements and size indications are approximate values and are based on the information provided to us by the rental company. We do not accept any responsibility for any mistakes or human error in the provision of these details.

The rental company reserves the right to charge a cleaning fee if vehicles are returned with an excessively dirty interior (a fee for cleaning the outside of the vehicle is only charged if the exterior is extremely dirty). The toilet and waste water tank must be emptied and the fuel and propane gas tanks returned full or a further fee will be charged.
Despite regular quality control checks problems can still arise with the vehicles from time to time.
In the event of an accident, break-down, technical difficulties (including problems with tyres) you are required to inform the rental company immediately on the toll-free service line provided. A nationwide network of contracted mechanics are available in such cases.
In an accident the police need to be contacted and the rental company should be informed within no longer than 24 hours. Third party demands are not to be agreed to and the police report must include the name and address of the people involved as well as any witnesses along with the vehicle registration details. Even in the case of minor damage the renter is required to provide a detailed written report to Best Time RV outlining the situation.
Note: If you do not inform Best Time RV immediately about the need for a repair and if the company is not given the opportunity to help you find you a solution no reimbursement or compensation will be provided. If the renter informs the rental company about any vehicle problems after the vehicle has been returned, but without having informed the rental company during the rental period no insurance cover is provided nor are any reimbursements given.
Small repairs or necessary expenses for the upkeep of the vehicle up to US$ 50 can be carried out without prior communication with the rental company and will be reimbursed to you at vehicle drop-off time. For repairs that will cost more than US$ 50 you are required to inform the rental company before repairs take place in order to obtain their approval to proceed (otherwise no repairs will be reimbursed). Any repairs can only be reimbursed upon presentation of a receipt.
If the vehicle is out of action (due to a mechanical breakdown*, not an accident) for longer than 12 hours - and this not being the fault of the renter (i.e. Best Time RV is not able to repair or replace the vehicle within 12 hours), Best Time RV will reimburse the daily rental rate or a relative portion of this rate according to the number of hours or days lost. In addition, the rental company will also pay US$ 30 per person and day for accommodation costs up to a maximum of US$ 3,000.
*Mechanical breakdown: Best Time RV does not provide compensation for damage or problems to the following items: radio/CD-player, TV, microwave, air conditioning, fridge, all appliances such as the oven, etc., water pump, shower and toilet, generator, automatic steps, cruise control and GPS.
Pets are not allowed in the vehicles. If this policy is not followed a penalty up to US$ 1,000 applies.
Smoking is also not allowed in the vehicles.
All information provided has been put together by us (Motorhome Bookers Ltd) in as much detail as possible and on the basis of the information made available to us. This information has been taken from the rental company's conditions which they have provided to us. Any additional conditions are included in the rental agreement which is entered into by yourself and the rental company. A compulsory vehicle preparation fee of US$ 194 per vehicle is payable when you pick up your motorhome. Between 01 Apr - 30 Sep the higher fee of US$ 254 per vehicle applies if you pick up on a Saturday or Monday.
The fee includes the following:
- Standard vehicle equipment (water hose, sewer hose, flash-light and batteries, first aid kit, 15/30 AMP adapter, etc.)
- First supply of toilet chemicals
- First roll of toilet paper
- Transfer from the rental depot to the airport after drop-off. For details, please see the 'Pick-up/Drop-off' section
Post-hire Cleaning
*The rental company reserves the right to charge a cleaning fee for vehicles, which are returned with an excessively dirty interior or exterior. The toilet and waste water tanks must be emptied and the fuel and propane gas tanks returned full or a further fee will be charged.
The option is available when you make your booking with us and is not available at pick-up time.
The All Inclusive Price is available with or without unlimited miles and includes the following provisions in addition to those included in the standard price:

With the booking confirmation/invoice from us you will receive your booking number, which you have to enter there together with the date of your vehicle pick-up and the code of the rental station when picking up.

For flex rate bookings the following applies: The flex rate that is available at the time of booking for the first rental day determines the daily rental rate for the entire rental period up to the 7th day. Every rental day from the 8th day on are counted as a new booking and the flex rate that applies for the 8th day will be used from then on, and the flex rate that applies for the 15th rental day will be used from then, etc.
Pick-up and drop-off days are counted as one day in total, i.e. each rental night is used for the price calculation in the same way as is done by hotels. To find out which flex rate is currently valid for the vehicle you are interested in, just click for a price calculation for the desired rental duration. The flex rate is calculated by the rental company on the basis of supply and demand and is adjusted every Sunday.
Note: If you wish to make any changes to your booking, the booking will be re-calculated using either the original flex rate or the flex rate at the time of the booking change, depending on which rate is higher.
The following situations are classified as booking alterations.
- Change of date for vehicle pick-up or drop-off
- Change of location (depot) for vehicle pick-up or drop-off
- Change of vehicle category
- Name change
If you decide to extend your rental duration by 2 days to a date that is later than the original drop-off date, the same flex rate is used that applied on the day when you made your original booking. If you extend this by 3 days or more, the booking change rule applies as outlined above.
If an amendment is made to the rental dates within 14 days of collection, no refund will be made if the length of hire is shortened (i.e. the rental will be charged at the number of days originally booked). There is no refund for late pick up or early return of vehicle. A relocation fee may apply if the collection or return location is amended within 14 days of vehicle pick up or if notification occurs during the hire.
The cancellation fees apply as stated in Motorhome Bookers' booking conditions.

A compulsory vehicle preparation fee is payable locally. The cost for this is US$ 254 per vehicle for pick-ups on Saturdays or Mondays between 01 Apr and 30 Sep. For all other pick-up days, the cost is US$ 194 per vehicle.
Convenience kits are optional, payable locally and cost US$ 75 per person. For further details please refer to the section 'Equipment & Extras''.
If you select the All Inclusive option during your booking the vehicle preparation fee and convenience kits for all passengers are included in the total price.
There are no mileage allowances included in the standard daily rental rates. When the Super All Inclusive option is booked, unlimited mileage is included.
Your 'advance booker' advantage:
You can book mileage allowances in advance in packages of 500 miles.
Mileage prices will be displayed during our online quoting/booking process.
Note: mileage packages are only available for advance bookings and cannot be purchased locally.
No refunds are provided for unused miles and any miles that you drive above the booked mileage allowance will be charged at US$ 0.43 + local taxes per mile at drop-off time and for all vehicles.
This option has to be booked in advance with your motorhome booking. It includes the following:
- Pick-up from one of the designated transfer hotels between 0730hrs and 0930hrs
- Transfer to the rental depot
- Vehicle pick-up in the morning (regular pick-up is in the afternoon)
The prices for this option vary depending on which month you pick-up your motorhome and can be viewed during our online quoting/booking process.
The transfer from the depot to the airport after drop-off is free of charge.
For further details on this option as well as the designated transfer hotels, please refer to the section 'Pick-up/Drop-off'.
One-way rentals (vehicle pick-up at location 'A' and drop-off at location 'B') are only available upon request between all rental depots and if booked in advance. For rentals between Las Vegas, San Francisco, Phoenix and Vancouver South or vice versa a fee of US$ 150 (US$ 300 from or to Vancouver South) plus local tax is payable locally at the depot when you pick up the vehicle.
NOTE: If you cancel your Best Time RV hire, the one-way fee will be charged on top of the applicable cancellation fees.
The following taxes are charged on top of all amounts payable locally:
Las Vegas: 8.25%, San Francisco: 9.75%, Phoenix: 16.55%
These amounts are provided to the best of our knowledge. Motorhome Bookers cannot accept responsibility if the actual tax percentages are increased or if Best Time RV alters these or other fees in any shape or form.
The fee for this package is optional and bookable/ payable locally at pick-up only:
California Toll Package: US$ 35
If the package is booked, all tolls incurred within the state of California are included. If this option is declined, it is the responsibility of the renter to pay all tolls and fines incurred while in possession of the vehicle. Any toll and/or fine not paid will be charged in addition to a handling fee of US$ 50 per incident.
Public liability insurance
Public liability insurance is included in the daily rental rate. The rental company and their vehicles are insured for damages to third parties and/or their property.
The public liability insurance that covers the registered drivers is only up to the statutory limit as stipulated by law of the State you are in at the time. This upper amount insured is normally very low.
In order to increase the upper limit of your own third party insurance you should purchase the Supplemental Liability Insurance (SLI) option locally. Please refer to the section 'Additional Insurance Options' below for more information.
Vehicle insurance
The CDW and VIP vehicle insurance is included in the rental rate for all vehicles. This insurance reduces the renter's personal level of risk/excess to US$ 1,000 (per incident) if an accident happens and in the event of theft or vandalism, regardless of how or by whom any damage to the vehicle occurs - including if the renter is not at fault. For exceptions see the table below. For damage that is not covered by the insurance: see below under the heading 'Insurance Exclusions'.

Additional insurance options:
You have the option of purchasing the Supplemental Liability Insurance (SLI) locally for either US$ 6 or US$ 12 per day plus local taxes. The SLI insurance increases the public liability insurance cover for the registered drivers from the low statutory limit that applies in the USA up to US$ 300,000 or a maximum of US$ 1 million.
The maximum level of each public liability insurance policy covers claims made by third parties against the rental company or the renter of the motorhome (in the case of third parties or their property). Passengers in the rental vehicle are not counted as third parties and the driver is therefore not insured for claims brought by them against him/herself.
You are required to provide a deposit as outlined in the above table when you pick up the vehicle. This can be provided by credit card (Mastercard, Discovercard, Visa, American Express) or in US$ travellers' cheques. No Euro cheques or debit cards are accepted.
Regardless of which method of payment you choose, all customers are required to present a valid credit card at pick-up before they will be allowed to collect the vehicle.
The deposit amount will be deducted from your credit card at pick-up and credited back when you drop off the vehicle, as long as you return the vehicle in the same state which you received it. Neither the rental company nor the tour operator is liable to pay any cost differences that occur between the cost of the deducted deposit and the reimbursement which result from foreign exchange fluctuations or external fees.
For special events such as 'Burning Man'* Best Time RV will charge a higher deposit. An additional deposit will be charged at pick-up if the awning of the vehicle will be enabled to use.
Please ensure you have enough credit available on your credit card. Best Time RV does not allow any person to pick up a vehicle unless they present a valid credit card and can pay the deposit.
The deposit applies for each and any incident where the rental vehicle or the property of a third party is damaged. In such cases a further bond will be required to cover the excess in any future incidents.
The deposit is refunded in entirety as long as the vehicle is returned free of (new) damage, clean, with emptied toilet and waste water facilities and with full fuel tanks. The rental company reserves the right to charge fees for damage, cleaning costs, a delayed drop-off, fines, etc. In such instances these costs are charged in arrears to the client's credit card or offset the refund of the deposit.
* Burning Man surcharge: A US$ 2,000 surcharge (plus local taxes) applies to all pick-ups between 28 Aug 20 and 08 Sep 20 for all customers who attend the Burning Man Festival. This fee is payable locally, mandatory and non-refundable. In addition, a US$ 2,000 security deposit will be charged at pick-up.
The excess (in the form of the deposit) is always banked in the first instance, regardless of who is at fault and is owed to the rental company by the renter. If an accident occurs, the deposit is refunded as soon as the rental company receives a payment from a third party, which can take quite some time. The amount of the deposit is deducted every time an accident occurs.
All insurance cover is null and void where the terms of the Best Time RV rental agreement are breached. Any damage that is caused when the renter acts outside of the rental company conditions is not covered by the insurance.
Any water and/or saltwater related damage where the renter is at fault is not covered by the insurance. The insurance does not cover damage in the case of any vehicle submersion, the vehicle being stranded in a water area, driving through causeways or beach driving. This includes any damage to the underbody or roof and roof appendages.
Any personal property that is damaged or stolen during an accident, vandalism or a theft is not insured. Private insurance should be purchased in your home country to cover any such issues. In order to avoid theft of personal items from the vehicle it is advised not to leave any valuable items in the vehicle.
In the cases listed below, the renter is liable for the full damage to the rental vehicle and third-party property, i.e. no insurance cover whatsoever is provided in the following cases:
- water-/saltwater-related damage as listed above
- activities that are in breach of the rental agreement conditions, e.g. driving under the influence of drugs or alcohol or dangerous driving (especially with regard to trailers and camping appendages)
- damage caused by the use of the wrong fuel or when water or oil, etc are not topped up to minimum required levels (causing overheating, frost damage, etc.) or where warning signals in the vehicle are ignored
- costs that arise for towing and recovery of vehicles that have been stranded or submerged as a result of the driver's actions
- repairs and towing costs that are incurred because of driving on unpermitted roads or in forbidden areas
- damage caused by backing up or striking overhead objects
- damage to the interior of the vehicle
- damage to the underbody, tyre or wheel damage
- towing
- all glass damage
- costs incurred if vehicle keys are either lost or locked in the vehicle
- if damage is caused as a result of people using the vehicle without the permission (not registered in rental agreement) of the rental company
- if more passengers are in the car than the maximum number allowed
- if any member of the rental party deliberately damages any part of the vehicle
- if renter fails to file an accident/damage police report
The renter is liable for any fees, costs, fines or penalties that occur during his/her use of the rental vehicle unless any such costs incurred are the fault of the rental company.
Where speeding tickets, parking fines, toll road violations and/or accidents (e.g. that have not been mentioned to the rental company) come to light, the rental company reserves the right to invoice the customer for these costs in arrears as well as a processing fee of up to US$ 50 or charge this amount to their credit card. Customers will have the option of buying prepaid toll packages at pick-up.
The insurance options offered by the rental company do not include luggage insurance, nor do they include cover for any damage to the driver or passengers. It is therefore recommended to obtain travel insurance that covers accidents, sickness and loss of luggage prior to departure.
A European or other national driving licence is valid for use in the USA as long as the details are also provided in English. If the licence does not provide information in English, an international driving licence is required together with the original.
The minimum age for registered drivers is 21 years.
Additional drivers can be registered at the time of vehicle collection at no extra costs. Anyone wanting to drive the motorhome must have their details entered in the rental agreement.
To be allowed to collect your vehicle you are required to present a valid national driving license, credit card, your passport as well as the Motorhome Bookers voucher at the depot. Best Time RV makes no exceptions and you will not be able to collect your vehicle if you do not have all of the above documents with you.

The rental company charges a compulsory one-off fee for the preparation of the vehicle. This amounts to US$ 194 per vehicle + local taxes and must be paid locally when you pick up your motorhome. If you pick up your vehicle on a Saturday or Monday between 01 Apr and 30 Sep, this fee will be US$ 254.
The fee includes:
First supply of toilet chemicals, one roll of toilet paper, transfer between depot and airport upon drop-off, fresh water hose and waste water hose, instruction manual, campground guide, accident kit, road atlas, first-aid kit, screwdriver, fire extinguisher, flash-light and batteries, vehicle levelers, 15/30 AMP adapter, water regulator, BBQ lighter.
If you select the all inclusive option during the online booking process the vehicle preparation fee is included in the total price.
The fees for the optional convenience kits are payable locally:
US$ 75 per person + local taxes.

The convenience kit includes the vehicle kit and personal kit. If you would like to rent the vehicle kit only, the cost for this is US$ 50 per rental + local taxes (payable locally).
If you select the all inclusive option during the online booking process the convenience kits for all passengers are included in the total price.

We recommend that you reserve these items in advance during the online booking process, otherwise availability cannot be guaranteed.

*GPS is already included for free in all B-21 vehicle types and does not have to be reserved in advance.
**Snow chains have to be attached in mountain areas if necessary, by the renter himself. They have to be installed at the rear of the vehicle - in case of twin wheels only on the two outer wheels.
The costs for using a generator is US$ 3 per hour.
Customers wishing to use a generator are required to confirm this at pick-up time and pay for usage at drop-off.
Children up to the age of 8 weighing less than 60 pounds (approx. 26 kg) or who are less than 52 inches (approx. 132 cm) in height must use a child restraint, which is attached with a seatbelt. Babies/Children between 6 months and 4 years of age and weighing less than 40 pounds (approx. 18 kg) are required to be seated and belted in a baby seat.
Children between the age of 4 years and 7 years and weighing between 40 and 60 pounds (approx. 14 - 26 kg) are required to be seated and belted in a child seat.
The following baby/child seat configurations are possible:
B-21: NO child restraint possible
E-24: 1 tether anchor, 2 lap belts: max. 2 child seats recommended
Please note: Baby capsules are not permitted in any Best Time RV motorhome. It therefore does not allow you to travel with babies under the age of 6 months.
Best Time RV does provide child restraints for rent. They cost US$ 39 per rental, payable locally. If you require one of these seats please provide details of the child's age and weight when you make your booking.
Please note that, due to applicable law, a baby/booster seat must be attached in the rear of the vehicle. The dinette table may require lowering to install the seat, but will only lower to seat level. As a result, other passengers will not be able to travel in the dinette area.
It is not allowed to drive off-road or on any roads that are not public.
If you drive in the Death Valley between 15 June and 15 September there is no insurance cover.
It is not permitted to drive on Dempster Highway between 01 September and 31 May.
It is not permitted to drive to Manhatten or New York City (it is ok to drive in New York State), Montreal, Quebec City and Ottawa.
Vehicles with propane gas tanks (for the oven and fridge) are not allowed to drive through underwater or underground tunnels in the USA.
You are not permitted to drive the vehicle to Mexico.
If you are a resident of Canada you are not allowed to travel into Canada. Residents of other countries are permitted to travel into Canada with the following restrictions:
You can only drive to Alaska, the Northwest Territories and to Yukon in Canada between 01 May and 30 Sep by paying a fee of US$ 450 on pick-up and requesting this allowance in advance with the booking. However, you are still not allowed to drive on forest roads/tracks or on unsealed roads. All customers are required to sign a document at pick-up time stating their agreement to the terms and conditions in relation to these areas.
Following prohibited travel areas apply to Yukon and Alaska:
Yukon: Canol Road North of Ross River, Aishihik Lake Road and the Road between Dease Lake and Telegraph Creek
Alaska: Dalton Highway (Hwy 11) between Coldfoot and Prudhoe Bay, McCarthy Road between Chitina and McCarthy
One-way rentals (vehicle pick-up at location 'A' and drop-off at location 'B') are only available upon request between all rental depots and if booked in advance. A fee of US$ 150 (and US$ 300 from or to Vancouver South) plus local tax is payable locally at the depot when you pick up the vehicle.
NOTE: If you cancel your Best Time RV hire, the one-way fee will be charged on top of the applicable cancellation fees.
Please note that the renter is liable for any damage to the vehicle resulting from frost, exposure to the cold, freezing of the tanks, warm water container and connections and damage such as this is not covered by the insurance.
If it is likely that you will experience temperature levels below zero, all connections such as water and chemical tanks should be emptied. If frost temperatures are expected the rental depot will have already winterised the vehicle by emptying the water to avoid freezing, prior to your departure. Winterised means that all water has to be emptied out of all water tanks. Following this, it is not permitted to pour any more water into the fresh water tank and none of the water connections can be used any more. No water in the vehicle is available for use. The renter is then required to purchase his/her own bottled water (e.g. drinking water) and to cover these costs him/herself.
The basins, sink and shower can no longer be used. The toilet can be partially flushed as long as windscreen wiper anti-frost fluid is used in the rinse. If there is a heavy frost, the toilet should not be flushed at all and you will need to use public toilets.
The renter bears all responsibility for ensuring the vehicle remains winterised and to return the vehicle in this state if the vehicle was collected in a warmer region such that the vehicle was not winterised or if this state is altered during the rental period. If the renter does not adhere to these guidelines - regardless of what weather conditions are present at drop-off time, a fee will be charged and the bond will be withheld until the vehicle is again winterised by a specialist and returned to the rental company. Winterisation or de-winterisation of the rental vehicle while on rent is at expense of the customer.
The renter will be held responsible for any costs resulting from the vehicle being damaged such as when the tanks, engine elements and pipes are damaged due to freezing, frost, etc. In such cases there is no insurance cover.
Please allow for the fact - when planning out your route, that campgrounds in certain areas may close during the winter. Some roads, especially in alpine areas may also be closed for driving or may be simply too dangerous to drive on.

The depot is open from Monday to Friday from 0900 - 1700hrs and Saturdays from 0900 - 1200hrs. It is closed on Sundays.
The depot is closed on the following public holidays:

On 24 Dec and 31 Dec, the rental depot will only be open from 0900 - 1200hrs.
For insurance reasons you are required to spend your first night in the USA in a hotel (or other accommodation) after an international flight before collecting your vehicle.
You can pick-up your vehicle from Monday - Friday between 1300 and 1500hrs, on Saturdays between 1000 and 1100hrs. There are no transfers provided and you need to arrange your own transportation to the rental depot.
Pick-ups before 1300hrs Monday - Friday and before 1000hrs on Saturdays are only possible if you book the Early Pick-up option.
Please note that you have to call the rental depot at least 3 working days prior to the pick-up of your vehicle to arrange the exact pick-up time!
If you have booked the Early Pick-up option you will be able to pick up your vehicle between 0900 and 1100hrs. In addition, a transfer is included from one of Best Time RV's designated transfer hotels to the rental depot. If you do not stay at one of the designated transfer hotels, you can make your own way at your own expense to one of these hotels or to the rental depot at the time approved by the rental depot in order to pick-up your vehicle in the morning.
No refunds can be given if you book the Early Pick-up option, but do not use the Best Time RV transfer. If you stay in one of the following designated transfer hotels, Best Time RV needs to be informed of the hotel details at least 3 working days in advance of the pick-up date. This is compulsory, otherwise the transfer will not apply and no rescheduled transfer can be provided and no refunds are given for this.
You have to provide your mobile phone number and, or email address, so the rental location can contact you in case any additional information regarding the transfer has to be communicated.
You are required to return the rental vehicle at the booked Best Time RV depot and on the booked drop-off date between 0900 and 1100hrs. The airport transfer however is only provided if you drop off on or before 1000hrs. The shuttle leaves around 1100hrs without exception and to the airport only (not to hotels or other destinations). If you drop off after 1000hrs, there are no transfers provided, meaning you would have to make your way to the airport at your own expense after this time.
Please do not book return flights with departures before 1400hrs if you want to take advantage of the free drop-off transfer to the airport.
NOTE: If your returning flight departs in the morning we strongly recommend that you book your motorhome such that you drop it off the day before you depart and spend a night in a hotel (or similar).
If the vehicle is not returned to the agreed depot or not at the agreed time, Best Time RV will charge US$ 30 per hour of delay and the airport transfer will be cancelled without refund. No refunds are provided if the vehicle is returned earlier than the date and time booked.
You are required to return the motorhome with a clean interior, full fuel and propane gas tanks and the toilet and waste water tanks must be empty, otherwise fees will be charged. If the vehicle is returned in a damaged state the appropriate fees will be charged as outlined in the rental agreement.
If you have booked the Early Pick-up option, the transfer buses will arrive at the designated Best Time RV transfer hotels at the approved time between 0730hrs and 0930hrs. You will need to be ready and waiting at the main entrance to the hotel (not in the lobby or your hotel room) and no later than this time. You can only make use of the transfer if you use one of the hotels mentioned below and as long the rental company is informed as to which hotel you are using at least 3 working days before pick-up by phone or at least 7 working days before pick-up by email. In the case of a Monday pick-up especially, notification of your hotel then needs to be given several days in advance. This is a compulsory requirement. Otherwise, no transfer will be provided and no compensation is provided to cover the missed transfer and you would need to make your own way to the rental depot at your own expense.
The transfers are only available at designated 'Transfer hotels' which are specified below.
You need to be ready and waiting at the approved time at the main entrance to your hotel (or an otherwise agreed 'designated customer waiting area' which can be specified when you call before your pick-up date), not in the lobby or your room. The rental company does not assume liability should unexpected delays occur due to shuttle bus delays resulting from traffic jams, etc.

No Best Time RV vehicle is older than model year 2019/24 months. Please note that 'model year' is not the year it was built in. A vehicle with model year 2019 is usually built and registered in 2018.
The vehicle category B-21 consists of 6 different van models with different layouts (Winnebago Travato Touring Coach Class B, Hymer Aktiv Class B, Roadtrek Zion Class B, Roadtrek Simplicity Class B, Roadtrek Simplicity SRT Class B, Carado Banff Class B). The motorization is always the same, all models are equipped with sleeping for 2 persons, toilet, kitchen, cold and warm running water, waste water tanks and aircondition. Please note that when this category is booked one of the 6 models can be assigned to a rental agreement. A specific model cannot be requested and Best Time RV does not guarantee a specific model.
Best Time RV will make every effort to ensure that the booked vehicle model is provided. However, it reserves the right, if due to unforeseen circumstances it has to provide either a vehicle of the same or a higher value without upgrade charges if the model booked is not available for any reason. Any additional costs such as higher petrol costs or ferry crossings costs, etc will not be reimbursed. This does not enable the renter to cancel his/her booking and there is no ground for compensation.
Even though all vehicles have similar equipment and designs small differences in vehicle design may exist. All measurements and size indications are approximate values and are based on the information provided to us by the rental company. We do not accept any responsibility for any mistakes or human error in the provision of these details.

The rental company reserves the right to charge a cleaning fee if vehicles are returned with an excessively dirty interior (a fee for cleaning the outside of the vehicle is only charged if the exterior is extremely dirty). The toilet and waste water tank must be emptied and the fuel and propane gas tanks returned full or a further fee will be charged.
Despite regular quality control checks problems can still arise with the vehicles from time to time.
In the event of an accident, break-down, technical difficulties (including problems with tyres) you are required to inform the rental company immediately on the toll-free service line provided. A nationwide network of contracted mechanics are available in such cases.
In an accident the police need to be contacted and the rental company should be informed within no longer than 24 hours. Third party demands are not to be agreed to and the police report must include the name and address of the people involved as well as any witnesses along with the vehicle registration details. Even in the case of minor damage the renter is required to provide a detailed written report to Best Time RV outlining the situation.
Note: If you do not inform Best Time RV immediately about the need for a repair and if the company is not given the opportunity to help you find you a solution no reimbursement or compensation will be provided. If the renter informs the rental company about any vehicle problems after the vehicle has been returned, but without having informed the rental company during the rental period no insurance cover is provided nor are any reimbursements given.
Small repairs or necessary expenses for the upkeep of the vehicle up to US$ 50 can be carried out without prior communication with the rental company and will be reimbursed to you at vehicle drop-off time. For repairs that will cost more than US$ 50 you are required to inform the rental company before repairs take place in order to obtain their approval to proceed (otherwise no repairs will be reimbursed). Any repairs can only be reimbursed upon presentation of a receipt.
If the vehicle is out of action (due to a mechanical breakdown*, not an accident) for longer than 12 hours - and this not being the fault of the renter (i.e. Best Time RV is not able to repair or replace the vehicle within 12 hours), Best Time RV will reimburse the daily rental rate or a relative portion of this rate according to the number of hours or days lost. In addition, the rental company will also pay US$ 30 per person and day for accommodation costs up to a maximum of US$ 3,000.
*Mechanical breakdown: Best Time RV does not provide compensation for damage or problems to the following items: radio/CD-player, TV, microwave, air conditioning, fridge, all appliances such as the oven, etc., water pump, shower and toilet, generator, automatic steps, cruise control and GPS.
Pets are not allowed in the vehicles. If this policy is not followed a penalty up to US$ 1,000 applies.
Smoking is also not allowed in the vehicles.
